TERMS AND CONDITIONS
These conditions apply to the booking of any function, meeting, conference or special event, held at the Best Western Carlton Hotel. We have attempted to keep them as simple as possible. PLEASE ENSURE that you read the Terms and Conditions, and please do not hesitate to contact us if any point is unclear.
‘The Company’ means the Best Western Carlton Hotel
‘The Hirer’ means the person, firm, company or public authority who hires the function sites
‘The Hiring’ means the use of the function sites.
Confirmation
Provisional reservations will not be deemed confirmed until a non-refundable deposit of 15% of the anticipated revenue has been received within 14 days of making your provisional reservation. ‘The Company’ reserves the right to release provisional reservations if a deposit has not been received. No reservation is deemed confirmed, until the deposit has been paid and ‘The Company’ has received a signed booking acknowledgement form from ‘The Hirer’.
Final Details
Final guaranteed numbers and menu selection are requested no later than 14 days prior to function date
Payment Details
Six weeks prior to the date of function a further payment of 50% of the anticipated revenue is required. The full outstanding balance is then required 14 days prior to the function. The final account will be calculated on the guaranteed numbers and menu advised 14 days prior to the function date but must be the same or more than the minimum agreed and signed for. Any additional changes made 48 hours prior to the function will be charged to the ‘Hirer. Payment for this will be requested on the day of the function or at the time of order.
Cancellation by ‘The Hirer’
Deposits are Non-Refundable under any circumstances.
In the event of the cancellation by ‘The Hirer’ the following charges shall apply if the date cannot be rebooked.
Within …
• 90 days of date of arrival, 50% of anticipated revenue
• 60 days of date of arrival, 75% of anticipated revenue
• 30 days of date of arrival, 100% of anticipated arrival
Cancellation charges are based on all anticipated revenue to include food and drink and shall be confirmed in writing.
Cancellation by ‘The Company’
The Company’ reserves the right to cancel any booking forthwith and without any liability on its part in the event of any damages or destruction to any part or parts of the buildings known as the Best Western Carlton Hotel and associate buildings by fire or any other causes, any shortages of labour or food supplies, walkouts or industrial unrest, or any other cause beyond the control of ‘The Company’ which shall prevent it from performing its obligations in connection with any booking.
Liability of ‘The Company
‘The Company’ can accept no responsibility for the property of cars of ‘The Hirer’ or guests at the premises known as the Best Western Carlton Hotel.
Any damage to the building or its contents caused by ‘The Hirer’, ‘The Hirer’ shall agree to pay ‘The Company’ the full cost of any company property, which is stolen or damaged beyond repair. Where property is damaged but repairable, ‘The Hirer’ will pay all cost incurred to rectify the damage.
Permission must be obtained from ‘The Company’, should ‘The Hirer’ wish to fix any posters or other materials to the walls, floors or ceilings.
General
No food or drink other than that purchased on the premises shall be allowed. ‘The Hirer’ shall not store or place on the outside of the Hotel any inflammable, combustible or any objectionable substances or liquids.
If a contract includes the employing of the services of any outside contractor, ‘The Hirer’ shall indemnify ‘The Company’ against any loss or damage to property, death, illness or injury to any persons and against all claims, costs, demands, proceedings and damages arising there from.
Any outside contractor employed by ‘The Hirer’ must report to the Duty Manager and sign the standard contractors indemnity form. ‘The Company’ reserves the right to refuse access to any contractor in the appropriate circumstances.
‘The Company’ reserves the right to alter or amend the booking to a different suite.
All prices quoted are current and inclusive of VAT.
‘The Company’ reserves the right to alter costs if market prices increase.
‘The Company’ reserves the right to amend these terms and conditions at its discretion.
Receipt
I confirm receipt of the Terms & Condition for the Event booked at the Best Western Carlton Hotel.
